Client Octopus vs HoneyBook

A polished standalone platform versus a plugin that lives inside the site you already run.

The short version: HoneyBook is an established, well-designed SaaS platform with its own built-in AI assistant, aimed at creative businesses of any size. Client Octopus is a WordPress plugin — cheaper at every tier, with a genuine free plan instead of a trial, and automations and call booking included from its lowest paid tier rather than gated behind a mid-tier upgrade. If you want a fully standalone app with no WordPress site involved, HoneyBook fits naturally. If your business already runs on WordPress, Client Octopus keeps everything in one place.

The detailed comparison

Pricing

HoneyBook's Starter plan is $29/month (billed yearly) but only includes up to 2 lead capture forms and no automations — those need the $49/month Essentials plan. Premium, at $109/month, is required for unlimited team members. Client Octopus's $9.99/month Pro plan already includes automated reminders, call booking, and calendar sync, and the free plan runs indefinitely rather than for a fixed trial window.

Hosting and data

HoneyBook is a hosted SaaS platform with its own login and dashboard, separate from your website. Client Octopus installs directly into the WordPress site you already run, so your proposals, clients, invoices, and leads live in your own WordPress database.

Payments

HoneyBook processes payments in-platform at 2.7% + 10¢ for cards and 1.5% for bank transfers. Client Octopus routes payments through your own connected Stripe or PayPal account instead of a proprietary in-house processor — you keep whatever rate your own account has, and it's your merchant relationship, not the plugin's.

AI features

HoneyBook AI is built in from the Starter plan. Client Octopus's AI writing tools are more narrowly scoped — improving, shortening, and generating proposal content specifically — and are available on Pro and Agency (100 and 500 requests/month respectively), not the free plan.

Team members

HoneyBook's Starter plan doesn't include additional team members at all; Essentials ($49/mo) allows up to 2, and unlimited members require Premium at $109/month. Client Octopus's Agency plan ($24.99/month) includes 10 seats outright.

Who each is best for

Be honest with yourself about which fits

Choose Client Octopus if…

You already run a WordPress site and want proposals, invoices, and client data to live there rather than in a separate app, or you want automated reminders and call booking without needing a mid-tier or top-tier plan to unlock them.

Choose HoneyBook if…

You don't run WordPress and want a fully standalone, polished platform, or the built-in AI assistant across every part of the workflow (not just proposal writing) is something you'd use heavily.

Switching over

Moving from HoneyBook

HoneyBook makes exporting straightforward — go to Clients → Contacts, then Download spreadsheet to get a CSV of your contact list. Client Octopus has its own CSV importer for clients — upload the file you exported from HoneyBook, map the columns yourself (including split First/Last Name fields), preview the results, and bulk-create your client records. Active proposals and invoices are rebuilt using Client Octopus's own builders — see the documentation for a full walkthrough of each.

If you get stuck partway through, reply to any Client Octopus email or reach out via the contact link in the footer and it'll get to a real person, not a support queue.
